Privacy Policy

Effective 30 October 2026

Keepr helps you collect photos, voice messages and stories with the people you care about, and turn them into a keepsake or a printed book. This policy explains what information we collect to do that, who sees it, and the choices you have. We don’t sell your information, and we don’t use advertising or third-party analytics trackers.

1. Who we are

Keepr (“Keepr”, “we”, “us”) runs the Keepr mobile app and the mykeepr.io website. We are based in New Zealand and handle your personal information in line with the New Zealand Privacy Act 2020. If you use Keepr from Australia, we also aim to meet the Australian Privacy Principles. This policy applies to the Keepr app and this website.

2. What we collect

Information you give us

  • Account details: your name and email address, and a password if you register with email. Passwords are stored only as a one-way hash, so we can’t read them.
  • Sign in with Apple or Google: if you use either, we receive the name, email address and profile picture they choose to share, plus a token that lets us confirm it’s you. If you hide your email with Apple, we only see Apple’s private relay address.
  • Your photobooks and content: the photos you add to a book, captions and text, cover choices, layouts and the books themselves.
  • CollabBooks and events: prompts you write, the people you invite (their email addresses), and the answers contributors give — photos, text of up to 250 characters, a display name, and optionally a voice recording.
  • Voice recordings: if you record or upload a voice message, we store the audio file. See “Voice messages and QR codes” below.
  • Orders and delivery: when you order a printed book we collect your delivery name, address, phone number and email so it can be printed and posted. Addresses can be filled in with Google address suggestions.
  • Messages to us: anything you send when you contact us.

Payments

Card payments are processed by Stripe. Your card details go directly to Stripe and are never stored on our servers. We keep a record of each payment (amount, currency, status and Stripe’s reference) so we can match it to your order.

Photo information used for suggestions

If you allow photo access, the app reads the date and, where your photos have it, the location of recent photos on your device to notice when you have enough new photos for a book (for example from a trip) and suggest one. For this we store only the photo’s identifier on your device, the time it was taken and its coordinates — the photo itself is not uploaded until you choose to add it to a book.

Voice messages and QR codes

A voice message in a printed book is shown as a QR code with a short code printed under it. Scanning the QR code opens a Keepr web page, and the audio only plays after the printed code is entered. Anyone who holds the printed book can therefore listen. Inside the app, the audio plays for the people who can see that book.

Device and usage information

  • Push notifications: if you turn notifications on, we store a push token for your device so we can send alerts such as invites, reminders and order updates, and a record of which notifications we sent so we don’t send too many. You can turn this off in the app at any time.
  • Technical logs: our servers keep standard logs (such as time of request, IP address and error details) to keep the service secure and working.
  • On your device: the app stores your sign-in token in your phone’s secure storage.

We do not use advertising SDKs, and we do not track you across other companies’ apps or websites. The Keepr website loads its fonts from Google Fonts, which means your browser contacts Google when you visit.

3. How we use it

  • To create and run your account and to let you sign in.
  • To build, store, preview and print your books, and to deliver them.
  • To let you collaborate: showing your name and contributions to the other people in a book, and showing owners who has joined and answered.
  • To take payment, work out shipping and tell you about your order.
  • To send emails and notifications that are part of the service: invites, due-date reminders, order updates, sign-in and account codes.
  • To suggest a book when you have new photos, if you allow photo access.
  • To keep Keepr secure, prevent misuse and fix problems.
  • To meet our legal obligations, including tax and accounting rules.

4. Who we share it with

We don’t sell your personal information. We share it only as needed to run Keepr:

  • Other people in your books. In a CollabBook, the owner sees each contributor’s name, photos, text and any voice message, and contributors are visible to the other members. If an answer is included in a printed book, it appears in that book for everyone who receives it. Contributors can see the book’s prompts and who else is taking part.
  • Printing and delivery partners. To print and post an order we send the print files and the delivery name, address, phone number and email to the printing partner who produces and ships it. To estimate postage we send the delivery postcode and parcel size to Australia Post or New Zealand Post.
  • Service providers who run Keepr for us:
    • Amazon Web Services — hosting, file storage (photos, audio, PDFs), content delivery and email sending.
    • Our database provider — stores account and book records.
    • Stripe — card payments.
    • Apple and Google — Sign in with Apple, Google sign-in, and Google address suggestions (Google Places).
    • Expo, Apple and Google — delivering push notifications.
  • Legal and safety. We may disclose information if the law requires it, to enforce our terms, or to protect people’s safety.
  • If our business changes. If Keepr is sold or merges with another business, your information may transfer to the new owner, who must honour this policy.

Some of these providers (such as Stripe, Google, Apple and Expo) process information outside New Zealand, including in the United States. We use providers that have their own privacy and security commitments.

5. Permissions on your phone

The app only asks for access when it needs it, and you can change any of these in your phone’s Settings:

  • Photos: to choose photos for a book and, if you allow it, to notice when you have enough new photos for a suggested book. Photos are only uploaded when you add them to a book or an answer.
  • Location: used while you’re using the app to recognise trips so we can suggest a photobook of them. This is optional.
  • Microphone: to record a voice message for a CollabBook page. Recordings are kept on your phone until you tap “Use this”.
  • Notifications: opt-in only. We don’t ask until you choose to turn them on.

6. Where it’s stored and how it’s protected

Your photos, audio and book files are stored on Amazon Web Services in Australia, and are served through a content delivery network using time-limited links. Connections to Keepr are encrypted in transit, passwords are hashed, and access to our systems is limited to the people who need it. No system is perfectly secure, so we can’t guarantee absolute security, but we work to protect your information and will tell you and the Privacy Commissioner if a breach is likely to cause you serious harm.

7. Keeping and deleting your data

We keep your information while you have an account.

Delete your account in the app

Open Profile → Account → Delete Account. We email a 6-digit code to confirm it’s you (and ask for your password if you have one). When you confirm:

  • your account, books, photos, audio recordings, answers to CollabBooks, notifications, devices and invites are permanently deleted, and the stored files are removed from our storage;
  • if you signed in with Apple, we revoke the connection between Keepr and your Apple ID.

For print orders we keep a record of the order and payment for accounting and tax purposes, as the law requires. When you delete your account these records are detached from you: the delivery name, address, phone and email are erased, the print files are deleted, and the order no longer links to your identity.

We can’t delete an account while you have a print order being produced or delivered, an event that is still active, or an organization where you’re the only admin. The app tells you if one of these applies; once it’s resolved you can delete your account.

Deleted content may persist briefly in routine backups before it is overwritten. If you can’t use the app, email us at hello@mykeepr.io from the address on your account and we’ll delete it for you.

8. Your rights

You can ask us for a copy of the personal information we hold about you, ask us to correct it, and ask us to delete it. You can delete your account yourself in the app, as described above. To make any other request, email hello@mykeepr.io and we’ll respond within 20 working days.

If you’re not happy with how we’ve handled your information, please contact us first. You can also complain to the New Zealand Office of the Privacy Commissioner (privacy.org.nz) or, if you’re in Australia, the Office of the Australian Information Commissioner (oaic.gov.au).

9. Children

Keepr is not directed at children, and you must be at least 16 to create an account. If you think a child has given us personal information, please contact us and we’ll delete it. Parents and guardians who add photos of children to a book are responsible for choosing to do so.

10. Changes to this policy

We may update this policy from time to time. If we make a significant change, we’ll let you know in the app or by email before it takes effect. The effective date above shows when it was last updated.
